Being an executive assistant is not easy. It takes a rare person to be the perfect fit for this demanding position, but if you are determined enough to learn new skills you will quickly become indispensable to your company. Many people who are not familiar with this job think that an executive assistant’s job is simply typing and answering emails- however it just doesn’t stop there. There are six key qualities suggested by NCR Report Cards that every executive assistant should have in order to be successful and these can range from customer service skills, administrative skills, and always being open to learning new things. Here are the six ways to be a better executive assistant:

“Be Organized and Stay Organized” 

Being organized is one of the most important qualities that you need to have as an executive assistant. The general rule is that you should be done with all your work before noon, and if not, make sure you start early in the morning. You will find it much easier to get your work done as early as possible as your day will be more relaxed and you will have more time left for other personal commitments; it is also much easier for each task to get done when everything else has been completed first. It is a good idea to have a day planner in order to make sure that you know exactly what you need to do in a day.

“Take Positive Notes from People”  

Being an executive assistant often means that you will be taking notes about your managers, clients, and even the people that you are assisting. In order for this to be done effectively it is important that you pick up on the good things that each person has said and always remember them. It may also be a good idea to take some quotes from different books so that your mind can stay focused and engaged during your workday. One of the most impressive qualities of an executive assistant is their ability to take notes without being too obvious about it.

“Be a Team Player”  

As an executive assistant you will need to work not only with your direct manager but also with the other executives in the organization. This means that you will need to be able to get along with all of them. It is common for executives to have personal disagreements, so it is important that you are able to have a good relationship with everyone so that you can get your work done properly. You should also learn how each executive works and understand their personality, so that you will be able to understand if they are being too hard on you or if they are actually being kind enough.

Be Flexible and Adaptable 

As an executive assistant, you will be the one who is the first line of communication for many things. This means that you can be put in a very stressful situation at any given time if an important executive needs communication, or if someone cheats on their expense account. It is important that you are able to keep your emotions under control and always consider everyone’s needs first, including yours. If anything goes wrong, make sure that you are flexible with your schedule and try to work out whatever problem might exist as soon as possible. You should also be able to stay calm during extremely chaotic situations; this way, people will respect you more and will trust your judgment more.

Be Ready to Learn 

As an executive assistant, you will need to be ready to learn new things at any time. This means that it is important that you are open to learning new things in order to increase your passive income; you should also be willing to learn new skills in order to improve your work efficiency and overall career growth. If you are not confident in yourself, you will never feel confident in what kind of role you can assume in the future.

“Be Upbeat and Motivated”  

A big part of being an executive assistant is being able to push through when it’s hard. There are times when you will have to do something that is not ideal for you, but it is important that you are able to keep pushing through. As an executive assistant, it is also important that you are able to keep yourself motivated each day. This means that if there are things that you know could be done better by your boss, you should tell him or her about it. Don’t be afraid of being blunt about your opinions- in fact, this is a great way to get things done efficiently. If the person above you doesn’t agree with what’s best for the company, they will not be very successful as an executive assistant.

“Never Be Afraid to Ask”  

It is important for all of your superiors to have a good relationship with you. However, it is not just about them being happy with you, but that you are trustworthy and dependable. As an executive assistant, this means that if a person needs a large amount of work done in a short period of time, they will always be able to get it done properly without any problems. You should never be afraid to ask for help from your superiors when you need it the most, and it is even better if they let you know if there is something that they can help you with on a daily basis.
